The Business Owner’s Dilemma – To Buy Or Lease a Copier

For any business owner who has blazed this same trail from being a mom & pop shop and into a real business, we graduate from printers to a copy machine, and then to a multifunction copier that was leased and not purchased.

All of us go looking with excitement for an office in a commercial building to actually be a full-fledged business once we've outgrown the home-grown business. Then comes all the additional expenses we didn't see coming. Networking, furniture, the cost of commercial phones and phone line costs rather than residential, etc. One of the biggest unplanned expenses is the need for a copy machine, or at least that is where it starts. "We don't need a copier, we'll just use the printers we've had for the past few years" many people think. What we haven't learned yet is that printer costs are more expensive than copier costs.

A copier can make copies for pennies, but a printer costs six to twenty (.06 to.20) cents per page. Once we start creating marketing pieces, printing invoices, accounting, inventory, etc, we find ourselves wishing we had bought stock in the printer cartridge industry. Then we wake up and realize we needed a copier.

After a year or three, we next learn we shouldn't have bought that small copier, because now we need a huge one, and one that staples, collates, faxes, scans, acts like a printer and 25 other bells and whistles. So we do our homework and learn all about a multifunction copier. We see it is the exact answer for all our business needs. In fact, we can let go of all the printers and those expensive cartridges. We think we've found business nirvana with this new tool that does everything, until we see the price tag. Then our heart skips a beat and we realize the price of this machine that we can't live without, costs as much capital as we have in the bank, and payroll is next week. Finally we learn we can keep all our precious capital for our business, and still have our new business toy, a fully multifunction copier, simply by leasing it.

After using our new toy for just 2 months, we found out we can sell a garage sale:
• Printers
• Printer cartridges
• Fax machines
• Fax machine toner cartridges
• Copy machine
• Copy machine cartridges

Then we don't even need an accountant to realize how much money we were spending on all those machines, buying new ones every few years, stocking up on all the cartridges, keeping it all organized, hoping nothing breaks so we don't have to make another capital investment. We realize we've started saving ourselves a ton of money, and we have one machine, networked so the whole office can use it, and it is 5-8 machines all rolled up into one. This new genius black box (or white) prints in black and white and 50-100 pages a minute. It prints in color, it scans, faxes, staples, collates and more. Our lease comes with a service contract and a service tech shows up once a month or so (depending on our copier lease), and they maintain it and it never breaks down. If it does, one phone call and they hop on over to fix it; no fear, no loss of more capital, no running down to kinko's to send a fax, nothing; all our business printing functions are handled. We wish we'd have known about this gem of a machine a long time ago. We realized once our business grew out of our home-office or garage, we should have leased this great invention. We reminisce about all the money spent on all those machines cartridges, toners, supplies, shaking our head at how stupid we were. We weren't stupid, we just didn't know.

In a few more years we realize just how smart we were to lease and not buy. Why? Because now we simply adjust our lease, and the copier company brings in a new larger multifunction copier for us and takes away the older one, all with no out of pocket cash. They even gave us credit for any unused cartridges; this is when we really pat ourselves on the back. This is the day we learned that leasing this critical piece of equipment is the best investment we've ever made, and that leasing it is the only way to have one.

Copiers Vs Printers

Here is a scenario for you that is all too common in today's office environment; My favourite company, ABC, uses a copier to copy documents, a laser printer to print documents and a fax to fax documents. They go through enough paper to reduce a rainforest down to a vegetable garden and waste endless amounts of time sorting paper, printing and storage. Not to mention three suppliers of toners and three vendors for maintenance. Sound familiar? If it does then this article is definitely for you.

Desktop printers hit the ground running when they were introduced decades ago and have positively saturated the World's offices since. With the introduction of printers the world instantly changed and a new way of producing professional documents with ease was introduced. Personal printers are seen in nearly every home that has a computer and desktop printers are largely used in the office environment still to this day.

So why the comparison of copiers versus printers?

Let's look at why companies have printers in their offices even though their operational costs can sometimes be 400% more than that of a copier? There are a few reasons that stand out in my mind and throughout my experiences. The first reason I find for having a desktop printer in the office environment is for confidential printing or keeping the document what I like to call 'clean', with unauthorised eyes expelled from viewing the printed document. This is usually found in payroll or in legal firms where confidentiality is paramount. Another reason (and this is my favourite) is that having a separate printer to other pieces of equipments allows the freedom to still print if maintenance is required on the multi-function. True! The third reason I find for having a desktop printer is that they are cheaper to buy than multi-function devices. True also! Let us investigate further why an argument still lies between copiers and printers.

When a consultant advises you that putting all of your equipment together in to a brand new MFD they are not just doing so to get a bigger sale with a better piece of equipment. They are actually advising you on how to save time, money and effort! True story.

Let me supply answers as an expert advisor to a few of the reasons that I have come up against time after time as outlined earlier.

Confidential printing is an excellent idea and I always make sure that clients in specific industries protect their documents through correct document automation. The latest in technologies for MFD's provides user authentication security and allows secure-print jobs to be processed. This allows any user on the network to send a password protected print to the MFD and save the print until that person is at the device to enter the correct password. Do you see how this reflects exactly the same method as outlined above (printing a document so that others can not view). But guess what? This method can reduce printing costs in an instant by up to 400%!

How about the maintenance issue of having 'down-time' on a MFD if a problem occurs? Great point! It is true that when maintenance is required on a MFD that there will be a period where the device will be stopped. So how do we combat this? Well I recommend having either two MFD's (if your print volume justifies the cost) or having a back-up printer that is only used during maintenance periods. This then ensures that printing will not stop during maintenance periods or when the occasional glitch occurs with your MFD. Printers are not entirely evil! Just make sure that the back up is used as a back up only, and I say this with absolute compassion as costs will blow through the roof if you keep printing with the back up. This concept has worked wonders for many organisations over the years.

Printers are cheaper... to buy! That is pretty much where the comparison in cost ends. I have seen over the years the changes in cost per print maintenance on both printers and copiers and have discovered a positive spiral for both, sometimes printers are even competing in the cost per print department for maintenance (which is great). But what is so great about purchasing a cheaper piece of equipment when it costs four times as much to run in consumables? I really do not see any justifiable cause in owning a cheap printer or even a cheap MFP (a multi-function printer not device) when it is going to throw the P & L statement out of the water?

Consider your options when it comes to how you run and set up your office printing environment as you could be losing money by the print. Does having to walk ten feet compared to reaching one foot have as much an effect on the running cost of the business when you could be increasing potential profit instantly?

Print through your MFD, copy on your MFD, scan to email from your MFD, Internet Fax from your MFD & fax from your MFD. By doing so not only can you keep your costs down but you can also maintain your costs and introduce true document automation in to your environment.

Copier Printer Scanner Features – Terms and Accessories

The copier printer all in one industry has changed over the past three years. What use to be options now comes standard accessories on many copier models. If you plant to lease a copier or purchase a copier printer all in one it's important to know the features and what you actually need for your office equipment. What is an ADF or DADF (automatic documents feeder)? The ADF or DADF sits on the top of the copier printer scanner and gives you the ability to automatically feed a stack of papers to copy, fax out or scan to computer. Some brands of copiers still call this an option. However, a machine never goes out the door without this. Usually the feeder allows up to 50 pages (some up to 100 pages) at one time on your digital copier or multifunction printer.

What does digital sorting mean on Canon, sharp and Ricoh Copiers (other brands too)? All brands of color copiers and multifunction copiers for the past 5 years provide digital sorting without using an external optional mailbox finisher. Digital sorting means each copy, print or fax job is "offset" from the previous one (shifted side to side). This feature does not limit the number of document sets your copier can sort. If you had an optional external copier mailbox finisher then you are limited to the number of slots. What is a duplex unit? The duplex unit gives your digital copier the ability to do two sided printing and copying. It's an option on some brands. However the more recent models (3 years old or less) it's standard. On business class copiers (Canons, Sharp, Ricoh, Kyocera and other models) you can do two sided to one side, one to two, two to four copying and printing using the menu keys.

What are the paper Drawers options? All business class copier printer scanners come with two paper drawers. The lower end personal copiers usually come with one drawer. Each paper drawer "cassette" handles several size papers from A4 up to 11 x 17. Most of the current models can handle sizes A4 to Legal. Most mid-range digital copier's drawers handle paper up to 11 x 17 size pages. Paper Cassette Drawer Options include: Additional paper drawers (feeders) up to 3,000 pages on some models of copiers. The typical optional copier paper drawers handle 500 sheets of paper. If you are using heavy paper stock you may need to use a bypass tray on your laser printer copier. Are the copier printers green by saving on electricity? Energy compliant power save mode is a standard feature on most recent model digital copier scanners. Due to pressure from governments, end user and marketing professionals, power save mode is here to stay.
